Build an Instagram Influencer CRM in Airtable

Export your Instagram followers list

Open Instagram Followers Exporter Pro while logged into your Instagram account:

  1. Click the extension icon and navigate to your Instagram profile
  2. Wait for the extension to load your complete followers list
  3. Apply filters if desired — for an influencer CRM, filter for follower count ≥ 1,000 to focus on meaningful influencer profiles
  4. Click Export CSV to download your followers data

Set up an Airtable influencer CRM base

Create a new Airtable base called Instagram Influencer CRM. Set up the main table with these fields:

  • Following (Number, integer)

  • Bio (Long text)
  • Verified (Checkbox)

Tip:Add a Formula field to auto-calculate Engagement Rate Estimate: <code>IF(Followers > 0, ROUND((Posts / Followers) * 100, 2), 0)</code>. This is a rough proxy — actual engagement rate requires per-post like/comment data — but it helps flag accounts worth investigating further.

Import your CSV and auto-calculate tiers

Import your Instagram followers CSV into Airtable:

  1. Open your Influencer CRM base → main table
  2. Click Import data → CSV file from the toolbar
  3. Upload your CSV and map columns to the corresponding fields
  4. Click Import to populate the table

After import, add a Formula field called Auto Tier to classify followers automatically:

Tip:After auto-calculating tiers, scan the Macro and Mega tier accounts and manually review their bios to assign Niche tags. These are the highest-priority accounts in your database — getting their niche classification right is worth the extra manual step.

Create influencer outreach views and pipeline boards

Set up multiple Airtable views to manage your influencer relationships:

  • Micro Prospects (Grid) — Filter: Tier = Micro, Pipeline Stage = Prospect. Sort: Followers descending. Your primary outreach queue for micro-influencer campaigns.
  • Outreach Pipeline (Kanban) — Group by Pipeline Stage. Drag cards through stages as relationships progress from Prospect → Contacted → In Discussion → Active Partner.
  • Active Partners (Gallery) — Filter: Pipeline Stage = Active. Shows active influencer partners with bio visible for quick context during campaign planning.
  • By Niche (Grid) — Group by Niche. Useful for campaign planning when you need a specific type of influencer (e.g., all Fitness influencers with 5k+ followers).
Tip:Pin the Outreach Pipeline Kanban view as your team's default view. Seeing the full pipeline at a glance helps you avoid neglecting mid-funnel contacts who are in discussion but haven't heard from you in a while.

Link collaborations and track campaign results

Create a second Airtable table called Campaigns and link it to your Influencer table using a Linked Record field. This lets you track multiple campaigns per influencer and multiple influencers per campaign:

  • Campaign Name (Title)
  • Influencers (Linked record → Influencer table) — tag which influencers participated
  • Start Date / End Date (Date)
  • Platform (Select) — Instagram, Instagram Stories, Instagram Reels, etc.
  • Budget (Currency)
  • Reach (Number) — combined follower reach of all participating influencers
